Terms of Service & Shipping Conditions

1. Acceptance & Binding Agreement

These Terms of Service ("Terms") govern your access to and use of courier dispatch, parcel shipping, highway freight transportation, and the Client Logistics ERP Portal provided by Approach Four Associates ("Approach Four").

By booking a courier pickup, handing over consignment parcels, logging into our ERP software, or submitting a website inquiry, you agree to be bound by these Terms.

2. Scope of Courier & Freight Services

Approach Four provides nationwide logistics fulfillment under the following categories:

  • Urgent Dox (Documents): Confidential corporate contracts, legal files, financial cheques, and administrative paperwork.
  • Non-Dox (Parcels & Goods): Commercial samples, e-commerce packages, machinery components, and industrial spare parts.
  • Same-Day & Express Delivery: Intra-city metro rider dispatches with guaranteed doorstep cutoff timelines.
  • Domestic Surface & Air Freight: Multi-mode pan-India transport covering 19,000+ pincodes.

3. Client Responsibilities & Declarations

When booking shipments with Approach Four, the client warrants that:

  • All package contents, weights, and volumetric box dimensions are accurately declared on consignment slips and digital manifests.
  • Packages are securely wrapped, cushioned, and sealed to withstand standard highway and air transit handling.
  • Necessary compliance documentation (including E-Way Bills, GST invoices, and gate passes) is provided prior to pickup.
  • Recipient contact numbers and doorstep delivery addresses are current and complete.

4. Prohibited & Restricted Items

Approach Four strictly prohibits the transport of contraband, illegal items, and hazardous substances.

Strictly Forbidden Items:
  • Currency notes, coins, bullion, precious metals, and negotiable bearer instruments.
  • Explosives, flammable liquids, compressed gases, corrosive chemicals, and radioactive materials.
  • Narcotics, illegal drugs, firearms, ammunition, and counterfeit goods.
  • Perishable food items requiring active refrigeration (unless explicitly contracted under cold-chain SLAs).

5. Rates, Invoicing & GST Tax Compliance

Freight rates are calculated based on whichever is higher between actual gross weight and volumetric weight (Length x Width x Height in cm / 5000).

  • GST Billing: All shipments are billed under official GST tax tariffs (18% GST for courier & logistics services) with CGST/SGST/IGST breakdown.
  • Payment Terms: Pre-paid accounts require settlement before dispatch. Corporate credit accounts must be settled within the agreed 15-day or 30-day billing cycle.
  • Overdue Balances: Late payments beyond agreed credit windows may result in temporary suspension of ERP portal access and pickup services.

6. Transit Timelines (SLAs) & Force Majeure

Approach Four maintains a 99.8% on-time delivery standard. Estimated transit timelines (SLAs) are provided in business hours/days from the time of hub check-in.

Force Majeure: Approach Four is not liable for transit delays caused by circumstances beyond reasonable control, including natural disasters, severe monsoon road blockades, highway strikes, airport grounding orders, national emergencies, or inaccurate recipient address details.

7. Client ERP Portal Usage & Security

Corporate account holders receive access to our web-based ERP software at approachfour.com/erp.

  • Clients are responsible for maintaining the confidentiality of assigned login credentials and master passwords.
  • Un-authorized scraping, automated vulnerability scanning, or malicious payload injection into the ERP portal is strictly prohibited and subject to legal prosecution.

8. Limitation of Liability & Claim Policy

Approach Four's maximum liability for lost or damaged un-insured shipments is limited to Rs. 1,000 or declared freight value (whichever is lower).

14-Day Formal Claim Window:

All claims regarding damaged packaging, missing items, or non-delivery must be submitted in writing to approachfour@gmail.com within 14 calendar days of parcel pickup, accompanied by Air Waybill copy, physical receipt, and digital photos of damage.

9. Governing Law & Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India. Any legal disputes or claims arising out of or in connection with logistics contracts executed by Approach Four Associates shall be subject to the exclusive jurisdiction of the competent courts in Faridabad, Haryana, India.
